Privacy Policy

Magleby Systems LLC ("Magleby Systems", "we", "us") builds custom trading software for clients. This policy explains what personal information we collect, why, who we share it with, and the choices you have. It covers our website at maglebysystems.com, our application and booking pages, the calls we hold with you, our client portal, and the services we provide under a signed agreement. It also explains, in Section 5, exactly what we do with information from your Google account when you connect one.

1. What we collect

What you give us. When you apply or book a call: your name, email address, phone number, and your answers to the application, which describe your trading in general terms (markets, broker, experience, what you want built). When you become a client: the details needed to contract and bill you, including a company name if you sign for one, your billing details, and your GitHub username so we can hand over your code. When you use the portal: everything you write in chat, the files you upload, the reports and requests you make, and your notification settings. When you contact us any other way: whatever you send.

What we create while working with you. Recordings and transcripts of the calls we hold with you (Section 4). The specification, agreements and change orders for your project. The code, documentation and deployment notes we build for you. Invoices, payments and refunds. Notes our team writes about your project.

Credentials you give us for a build. API keys and access to the servers and accounts your system runs on. We ask that these be restricted to what the build needs, with withdrawals disabled. We treat them as confidential and use them only to build, deploy and support your system.

What we collect automatically. When you visit our pages or use the portal: your IP address, browser and device type, the pages you view, how you got here, and the time of each request. Sign-in records for the portal, including the device, approximate location and time of each session. Cookies and similar technologies, described in Section 8.

What we do not collect. We do not ask for, and ask you not to send, the rules, signals or parameters that make your strategy work until a build requires them, and we scope from the shape of a strategy, not its edge. We never ask for brokerage passwords, and API keys should never allow withdrawals.

2. How we use it

We do not sell your personal information, and we do not use your strategy, your code or your trading information for our own trading or anyone else's.

3. Who we share it with

The people who work on your project. Our team and the contractors we assign to your build see what they need to do the work. Each is bound by confidentiality terms at least as strict as ours, and they may not take your information or your relationship outside our channels.

Service providers. Companies that process information for us under contract, only for the purposes above. Today they include a customer relationship and messaging platform (which also handles our calendars, forms, invoices and payments), a payment processor and, where you choose it, a financing provider; an electronic signature service; a video meeting service that records and transcribes calls; cloud hosting and a database provider for the portal; a source-code hosting service for repositories; a cloud file-storage service for project folders; a payroll and payout provider for our contractors; and analytics and advertising services described in Section 8. We may change providers; the purposes do not change.

When the law requires. To comply with a legal obligation, a court order or a lawful request; to enforce our agreements; or to protect the rights, safety or property of Magleby Systems, our clients or others.

A business transfer. If Magleby Systems is sold or merges, your information would transfer with the business, under this policy.

We do not share your information with anyone else, and we never share the recordings, specification, code or strategy details of one client with another.

4. Calls and recordings

Our technical calls, delivery reviews and other video calls with you are recorded and transcribed. We tell you before each call and you consent by joining. The recording and transcript of your technical call are the specification for your build under your Service Agreement, so we keep them for as long as we keep your project records, and we make them available to you in your portal. We use them only for your project. We do not use them to train any model, and we do not share them with anyone outside the people working on your project and the providers that store them.

5. Google user data

Some of our services connect to Google. This Section applies when you connect a Google account to Magleby Systems, and it takes precedence over anything else in this policy about that information.

Sign in with Google

If you sign in to the portal with Google, we receive your name, email address and profile picture from Google. We use the email address only to match you to an existing client or team record and to sign you in; if it matches nobody we have on file, sign-in is refused and nothing is kept. We use the name and picture to show who you are inside the portal. We do not receive your Google password.

Google Calendar

Our team members, and clients who choose to, can connect a Google Calendar so that meetings can be scheduled without conflicts. When you connect a calendar we request permission to read your calendar events and to create, update and delete events. We use that access for exactly two things:

We store the connection token Google gives us, encrypted, so that we can do this without asking you to sign in every time. We do not store copies of your calendar; we read it when we need to check availability. We do not use Google Calendar data for advertising, we do not sell it, we do not share it with anyone other than the service providers that host our systems, and no person at Magleby Systems reads your calendar except to resolve a problem you ask us to look at, or as required by law. You can disconnect your calendar at any time from your settings in the portal or from your Google account's security settings, and we delete the stored token when you do.

Limited Use

Magleby Systems' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms: we use Google user data only to provide and improve the features described above; we do not transfer it to others except to provide those features, to comply with law, or as part of a merger or acquisition with notice to you; we do not use it for advertising; and we do not allow humans to read it except with your consent, for security or legal reasons, or when it has been aggregated and anonymized.

6. The client portal

Your portal account is created from the email address you gave us; you set a password and a two-factor authentication app, which every account must use. We keep your sign-in history and the devices you have trusted so you can see them and sign them out. Chat messages, files and reports you post in the portal are visible to you, to the team members assigned to your project, and to our administrators. Our administrators can view the portal as a team member sees it, read-only, to support them; they cannot act as you. When a project is refunded or ends, your access to that project's code is removed as your agreement provides, and the project record is kept as described in Section 9.

7. Texts and email

Service messages. Once you apply, book or become a client, we send messages about your application, your calls, your project, your account and your payments by email and, if you gave us a phone number, by text. These are part of the service.

Text messaging terms. By providing your mobile number on our application or booking pages you agree to receive text messages from Magleby Systems about your application, your appointments and your project. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop receiving texts; reply HELP for help. Stopping texts does not stop the emails your project requires. Carriers are not liable for delayed or undelivered messages. We do not share your mobile number or your consent to receive texts with any third party for their marketing.

Marketing. We send marketing email only with your consent, and every marketing email has an unsubscribe link. We do not send marketing texts.

8. Cookies and tracking

Our pages use cookies and similar technologies for three things: to keep you signed in and remember your settings (necessary; the portal does not work without them); to measure how our pages are used, in aggregate; and, on our marketing pages only, to measure and attribute advertising, including through pixels and tags from advertising platforms such as Meta and Google. Advertising cookies are set only where the law allows without consent or after you consent. You can control cookies in your browser, and you can opt out of interest-based advertising through the platforms' own settings and industry opt-out tools. Our pages do not respond to browser "do not track" signals, but they do honor the Global Privacy Control signal where the law requires it.

9. How long we keep it

Applications and booking records: two years after your last contact with us, unless you become a client. Client project records, including recordings, transcripts, agreements, change orders, chat, files, invoices and payment records: for the life of the project and seven years after it ends, because they are the record of what was agreed and paid and are needed for tax, accounting and legal purposes. Portal accounts: until you ask us to close them or two years after your last project ends. Credentials you give us for a build: until the build and its support are complete, then deleted. Google Calendar tokens: until you disconnect. Analytics and advertising data: as set by the provider, generally no more than two years. We may keep information longer where the law requires, or to resolve a dispute.

10. Security

Information in transit is encrypted. Credentials and connection tokens are stored encrypted. Portal accounts require a password and an authenticator app. Access inside Magleby Systems is limited to the people who need it for your project, and our contractors work under written confidentiality obligations. No system is perfectly secure; if we learn of a breach affecting your information we will tell you as the law requires.

11. Your rights and choices

You can ask us what personal information we hold about you, ask us to correct it, ask us to delete it, or ask for a copy in a portable form, by writing to support@maglebysystems.com. We will verify that the request comes from you, respond within the time the law allows, and explain if we must keep something (for example, the records of a signed agreement). We will not treat you differently for exercising these rights.

California residents have these rights under the CCPA and CPRA, including the right to know the categories of information we collect and share, which this policy sets out. We do not sell personal information and we do not share it for cross-context behavioral advertising except through the advertising cookies in Section 8, which you can decline. Nevada residents may direct us not to sell their information; we do not sell it. Residents of other US states with privacy laws have similar rights and may exercise them the same way. If we decline a request you may appeal by replying to our response.

Marketing: unsubscribe in any email, or reply STOP to any text. Google: disconnect at any time as described in Section 5. Portal: ask us to close your account at any time; the project records we must keep are described in Section 9.

12. Outside the United States

We are a United States company and process information in the United States, and our contractors may work from other countries under our confidentiality terms. If you are in the European Economic Area, the United Kingdom or another region with data protection law, we process your information to perform our agreement with you, to comply with law, and for our legitimate interests in running and securing our services, or with your consent where we ask for it; you have the rights described in Section 11 and the right to complain to your local supervisory authority; and we rely on standard contractual clauses or your consent for the transfer of your information to the United States.

13. Children

Our services are for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, write to us and we will delete it.

14. Changes

We will post any change to this policy here with a new effective date, and if a change is material we will tell existing clients by email or in the portal before it takes effect.
